Responsibilities

The Administrative Assistant/Reception will serve as a support to other office professionals and will largely be responsible for various administrative functions and processes to support the National Tax Controversy Group our of our Cranbury, NJ office.

This position requires an in-office presense daily and is not eligible for remote or WFH arrangements.

Some evenings & weekends may be required during busy season, this position is non-exempt, therefore eligible for overtime over 40 hours in a given work week.

  • Answering phones and fielding calls including taking detailed messages and sending them to appropriate staff members
  • Maintain weekly telephone log for the team
  • Assisting with calendar management including:
    • Scheduling meetings with lead partners and other staff members
    • Working with the prospect team to help manage all incoming prospective clients
    • Scheduling team meetings & conference calls
    • Booking conference rooms 
  • Key part of our prospect team, which includes keeping our tracking spreadsheet up to date
  • Prepare and process power of attorney forms for the team
  • Manage our Client Data Base paperless process
  • Back up for mail administration 
    • Picking up incoming mail from front desk
    • Sorting/date stamping the mail
    • Assembling FedEx packages for team members and dispersing
    • Sorting IRS & State Tax notices & tracking incoming brokerage statements
  • Back up to the Executive Assistants (in their absence)
  • Printing documents and preparing Certified packages for team members and dispersing
  • Travel arrangements and itinerary coordination for partners
  • Ad hoc projects as needed for team members
  • Work directly with E. Martin Davidoff to organize and manage all aspects of Make a Smile Foundation

Qualifications

  • Minimum 5+ experience as an administrative assistant (preferred)
  • Strong computer proficiency with Microsoft office Suite
    • Excel, Word, Adobe & PDF management etc.
  • Experience drafting professional email correspondence
  • Ability to work efficiently in a fast paced, deadline driven environment
